As an Operation Handling Admin in our company, you will play a vital role in ensuring the smooth and efficient functioning of various operational processes and administrative tasks. Your responsibilities will encompass a wide range of duties aimed at supporting the overall operations of the organization. You will be a crucial link between different departments and contribute to the achievement of our business objectives.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative assistance to different departments, including handling correspondence, managing schedules, organizing meetings, and maintaining relevant documentation.
- Coordination and Communication: Act as a liaison between various teams, ensuring effective communication and collaboration. Facilitate information sharing and disseminate critical updates to relevant stakeholders.
- Office Management: Oversee general office operations, including maintaining office supplies, handling facility maintenance requests, and ensuring a clean and organized work environmen
- Records Management: Maintain accurate and up-to-date records, both physical and digital, related to operational activities, transactions, and other relevant documentation.
- Data Entry and Analysis: Input data into various systems accurately and perform periodic data analysis to identify trends, patterns, and areas for improvement.
- Process Improvement: Continuously evaluate operational processes to identify inefficiencies and propose solutions for streamlining workflows and optimizing productivity.
- Vendor Management: Coordinate with external vendors, suppliers, and service providers, ensuring timely delivery of goods and services while maintaining positive working relationships.
- Compliance and Regulations: Stay informed about relevant industry regulations and ensure compliance with company policies and procedures.
- Reporting: Generate regular and ad-hoc reports to provide insights into operational performance and assist management in making informed decisions.
- Problem Solving: Address operational issues and challenges promptly, seeking resolutions through effective communication and problem-solving skills.
Qualifications and Requirements:
- Proven experience in administrative roles or operations management.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in using office software such as Microsoft Office (Word, Excel, PowerPoint) and collaboration tools.
- Detail-oriented with a focus on accuracy and data integrity.
- Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
- Knowledge of relevant industry regulations and compliance standards is a plus.
- Bachelor's degree in Business Administration, Operations Management, or related fields is preferred but not mandatory.
